Data Privacy Statement for TRIPLE ThatCamps

When registering for the event TRIPLE ThatCamp #1, you agree to the statements below related to personal data collected in this context. Personal data are all data that can be related to you personally, such as your name, address, email address, your behaviour as user.


Event registration

If you enter information in the input fields provided and submit the form, the following data will be transmitted, stored and processed electronically by staff of Max Weber Foundation (TRIPLE project):

  • First name
  • Last name
  • Email address 
  • Your primary institutional affiliation (optional)
  • Organization/Institution (optional)
  • Country of residence (optional)

The personal data that you voluntarily provide by submitting the form will be used for the following purposes:

  • Confirmation of registration
  • Creation of participant lists
  • Provision of information about the event
  • Event evaluation

The legal basis is Art. 6 para. 1 lit. f GDPR.

Storage period

Your personal data will be stored for as long as it is required to achieve the stated purposes.

Transmission to third countries

There is no transfer of data to third countries.

Non-provision

The data is required for your registration for and your participation in our event. Failure to provide it will result in you not being able to attend the event.

Your rights

The EU General Data Protection Regulation (GDPR) gives you the following rights regarding the processing of your personal data:

  1. right to withdrawal of consent (Art. 7 (3) GDPR)
  2. right of access (Art. 15 GDPR)
  3. right to rectification (Art. 16 GDPR)
  4. right to erasure or “right to be forgotten” (Art. 17 GDPR)

Documentation of the event

We will document the event by saving and storing materials and chat contributions created by the participants, and take screenshots of the video conference. If you do not want your name to appear on these documents, we recommend using initials or a pseudonym instead of your full real name as personal identifier in the tools listed below.

Materials created by the participants

For documentation purposes, we will capture and store materials created collaboratively by the participants on the Miro board (see below) in the course of the event. After the event, we may upload these materials onto the repository Zenodo, use them in academic and non-academic publications and/or use them for communication purposes, i.e. publish them on the TRIPLE project’s website and social media channels.

Chats

If chat functions in Zoom and/or Miro are used, your text inputs will be processed and saved for documentation purposes, if applicable, until they are deleted manually.

Screenshots

We will take screenshots of the Zoom video conference (see below) during the event. They will be stored and used for communication purposes, i.e. published on the TRIPLE project’s website and distributed via social media channels.

Third-party applications

The event activities will include the use of third-party applications that process personal data. It is explicitly pointed out that the third-party tools used are subject solely to their respective cookie and privacy policies. The event organisers have no influence on the privacy settings of these services. By participating in the event you agree to their privacy policies. Please contact the providers directly if you wish to receive more information or if you wish to assert your rights.

Video conferencing

This event will use video conferencing services through Zoom. A registration for a Zoom account is not necessary for using the tool during the event.

Miro enables collaborative work on a virtual whiteboard. A registration for a Miro account is not necessary for using the tool during the event.
